The Role:
A great opportunity has arisen in the Commercial Division of Knight Frank for an experienced Personal Assistant / Office Manager. We are looking for a dedicated and hardworking individual to work as a PA to a Proprietary Partner of Knight Frank LLP and a Sub Divisional Head as well as acting as the Office Manager to the Investment department. In this role you will be responsible for providing a full secretarial service including; fast and accurate audio/copy typing, electronic diary and email management, filing/photocopying, organising client lunches, dinners etc when required and arranging appointments and arrangements for meetings, lunches and travel, including worldwide/European travel. You will also draft and collate pitch documents, create Power Point presentations and set up Excel Spreadsheets, as well as mange files, organise the post, arrange weekly internal meetings, compile expenses and assist with all Client Relationship Management processes and records. The successful candidate will also be involved in event management, invoicing and assisting with the preparation of fee analysis, year to date accounts and preparing WIP schedules. In the Office Management role you will oversee the workload distribution amongst support staff of the Investment department, co-ordinate the client contact register, oversee management of equipment/stationery and postage supplies and become the Total Image Manager for the department. You will also ensure all new members of staff are provided with First Day Induction, manage the annual leave and sickness and notify HR of all staff vacancies.
Qualifications and Experience:
The ideal candidate will have sound and credible PA experience working with senior management and have the ability to work in a private and confidential manner. You must be advanced in Word, Excel, PowerPoint and Outlook, have a typing speed of 70wpm and have great communication skills. You will have an adaptable and flexible attitude, be well presented, have a clear speaking voice and a good sense of humour. Loyalty, punctuality and attention to detail is key as well as the ability to communicate with people at all levels. Property experience preferred but not essential as is experience in a minor management role.
